Wholesale Vending Supplier Checklist

1. Verify the Supplier and Product Source

Confirm the legal business name, website, contact method, invoicing process and return communication. Ask whether products are new, authentic and in original packaging. For closeouts or liquidation, request condition, lot, date and case-pack details.

Keep invoices and product records, especially for branded, health-related or restricted categories. A supplier should not pressure an operator to hide product origin or remove required labeling.

2. Compare Landed Cost, Not Just Unit Price

Ask about case packs, minimum orders, freight, residential or lift-gate charges, payment fees, taxes, pallet requirements and lead time. A lower unit price can become more expensive after shipping or force the operator to buy too much inventory.

Calculate how many units the route can realistically sell before expiration or obsolescence.

3. Get Exact Product and Package Details

Request dimensions, weight, pack count, shelf life and packaging type. Product images should match the actual unit. Test a sample or small order before committing to a large quantity when machine compatibility is uncertain.

4. Understand Reorder Reliability
